- ===================

- CTC is a specialized point of sales system. It is special and unique
- because is offers a sales system to antique stores, consignment shops
- and specialty shops whose inventory in not replenished. It was developed
- for the Cornish Trading Company of Cornish Maine and is now offered
- commercially to any who would like to automate their sales process.

- CTC can handle a store of 500 booths, process charge cards (VISA, Master
- Card, American Express and Discover), checks as well as cash, has a
- layaway feature for partial payments, end of the day cash drawer
- balancing, optional owner operation of the system for additional
- functionality and features.

- To start the CTC Sales System, type CTC at the DOS prompt.
- Options: /o for owner options
- /t for no print

- Installation
- ============

- Installing the CTC Sales System is very simple by following the
- following steps.
-
- Insert the installation diskette into the appropriate disk drive.
- (A or B)

- Type A: and press [Enter] (Type B: if you have inserted the
- diskette into drive B)
-
- Follow the simple prompts to install the system to your target
- hard drive.
-
- Note: Help is available during the installation by pressing
-
- F1 at any time.

- Guided Tour
- ===========
-
- To start the CTC Sales System
- =============================
-
- At the DOS Prompt, enter CTC /o and press [Enter]
-
- You are presented with the system's main menu. Use the left and right
- arrow keys to move the selection bar from one item to another.
-
- Press the letter 'F' to see a list of choices associated with the File
- selection.
-
- Press the [Esc] key to close the File selections.
-
- Press the letter 'E' to see a list of choices associated with the Edit
- selection.
-
- Press the [Esc] key to close the Edit selections.
-
- Press the letter 'R' to see a list of available reports
-
- Press the [Esc] key to close the Report selections.
-
- Press the letter 'H' to see a list of choices associated with the Help
- selection.
-
- Move the selection bar down to the word Index and press [Enter]
-
- Press the [Esc] key to return to the menu.
-
- Press the [Esc] key one more time to return to the main menu selections.
-

- To enter a sale
- ===============
-
- At the main menu of selections, press the letter 'S' or move the
- selection bar to the Sale option.
-
- You will be presented with the Item Entry form. It is on this form that
- each item is entered, one per line.
-
- Enter the following items in the fields provided using the Tab,
- Shift-Tab, Enter keys to move from field to field.
-

- Press F10

- You will be presented with the Sales Entry form.

- Select CHECK my pressing the [down arrow] key 1 time followed by the
- [Enter] key.

- Enter 1123 in the Reference number field indicating the number on the
- check.
-
- Press the [Enter] key to proceed to the Tax ID field.
-
- Press [Enter] again to proceed to the Dealer's Name field.
-
- Press F10 to proceed to the Change Calculator.
-
-
- Processing the money
- ====================
-
- You should now be on the Change Calculator form. This is the last form
- before the invoice is printed.
-
- Enter 150.00 in the Received field and press the [Enter] key.
-
- You will be asked if the information is correct and see the amount of
- change to be returned to the customer.
-
- Press [Enter] to print the invoice. (Be sure your printer is on before
- pressing [Enter])
-
- Once the invoice has been printed, you will be returned to the system's
- main menu and are ready for the next sale.

- Balancing
- =========
-
- Press the letter 'B' from the main menu to be presented with the Balance
- Worksheet. It is here that you will balance your cash drawer at the end
- of the day.
-
- Reenter the value displayed in the entry field and press the [Enter] key
- to proceed to the Initials field.
-
- Type in your initials. (If you entered 2 letters instead of 3, press the
- [Enter] key)
-
- You should see the word "Balanced" indicating that your cash drawer
- matches the sales for the day.
-
- Press [Enter] to honor the figures displayed.
-
- You should now be back on the main menu.
-

- End of the Tour Suggestions
- ===========================
-
- You have completed the basic tour of this system and have processed your
- first sale. Experiment with some of the other options.
-
- Explore the on-line help.
-
- Select some of the other options to see what they have to offer pressing
- the F1 key at all times to get individual help.
-
- Try another sale with different options.
-
- Enter your phone number in the Tax ID field on the Sale Entry form then
- enter your own company information in the Address Entry form displayed.

- READ THIS MANUAL!
-
- NOTE: Your tour and experimentation will have created some files which
- will need to be deleted before you use this system for your first actual
- day in the store. To delete these files, enter DEL *.SDF and press the
- [Enter] key. The daily sales are named by the day of the week (first
- three characters) with the file extension of .SDF. Examples: TUE.SDF,
- WED.SDF etc.. (simulated in unregistered version)

- Have fun!

- Menu Selections
- ===============
- File|Export (owner option)
-
- This will allow you to select and transfer the daily sales to a single
- file for importing into a common database. You will be allowed to select
- which drive you wish to save the resulting exported file. Select the
- drive by moving the selection bar to the desired drive and press enter.
-
- You will then be shown a list of sales files. Select those files that
- you would like to copy by pressing the enter key for each file. An '*'
- will appear next to the selected file indicating it has been chosen.
- When all the files have been selected, press F10 to begin the copy.
-
- File|View
-
- This selection will display the current day's sales in column fashion.
- This will allow you to review the sales for the day. The viewer allows
- you to scroll up and down through the file as well as move left and
- right.
-
- Basic keys for movement within the viewer: PgDn, PgUp, RightArrow,
- LeftArrow, Up Arrow, Down Arrow
-
- F1 will display all keys available within the viewer.
-
- File|Execute (owner option)
-
- This will allow you to execute any DOS command directly from this
- program.
-
- File|Directory
-
- This selection will display a list of files in the current directory.
- The default initial option is *.SDF which would display all sales files.
- To see a list of all the files, change *.SDF to *.* .
-
- NOTE: These files contain the sale information for the day. These files
- can be edited with the supplied editor to correct mistakes in an invoice.
- The only requirement is that you DO NOT change the column alignment of
- the information. Make sure that you are typing in overstrike mode and
- not insert mode.
-
- File|DOS Shell (owner option)
-
- This selection will temporarily leave the sales system and present you
- with a DOS prompt which will allow you to perform DOS commands directly.
- See your DOS manual for details.
-
- NOTE: Remember to type EXIT to return to this program since the current
- sales system is suspended while you are out in DOS.
-
- File|Register
-
- This is where you will enter your registration number which converts
- the CTC Sales System into a full registered edition.
-
- File|Exit
-
- The selection will leave the sales system and return you to DOS.
-
- Edit
-
- NOTE: This function is only available under the owner's option owner's
- option Edit Booths This selection will allow you to control your booth
- assignments. This is important since the sales entry form uses this file
- for preloading the seller's name from the booth number entered.
-
- NOTE: Please try to keep the file in sorted sequence by booth number.
-
- NOTE: If your list of booths exceeds the maximum number allowed, you
- will receive an error message when entering the sales system. Feel free
- to contact the author if you need availability of more booths.

- NOTE: You can view a list of your current booth assignments by pressing
- ALT-B.

- Edit|Configuration
-
- This selection will allow you to control your setup of this program. The
- controls are:
-
- Company Your company name
- DailyCash The amount of daily cash to start the day
- Printer The name of your particular printer
- StateTax The state tax percentage for your state

- NOTE: For a complete list of printers available, enter the following
- command at the DOS prompt with in the CTC subdirectory. DIR *.PRTPRT

- Edit|Invoice (owner option)
-
- This selection will allow you to control the invoice numbering. Current
- indicates the current invoice number. The Starting indicates the
- starting invoice number at the beginning of the day.
-
- Edit|Surcharges (owner option)
-
- This selection will allow you to establish surchange percentages for
- each credit card in the system. These surcharges will be used to
- determine the deduction amount of the final sales of each booth.
-
- Balance (owner option)
-
- This selection displays the end of the day daily worksheet. It is here
- that you verify the days sales with the cash remaining in the cash
- drawer. If you are selecting balance from the edit menu, you will be
- shown all the balance information collected for the day in column
- fashion.
-
- NOTE: To print the resulting balance form, press Alt-P.
-
- Edit|Today's Sales (owner option)
-
- This selection will allow the owner to make corrections to the sales
- that have not yet been exported to the sales database. Extreme caution
- should be taken not to change the position of the information. To prevent
- movement of the information, place the edit session into OVERSTRIKE mode
- by pressing the Insert key before making changes. This will toggle the
- INSERT mode into OVERSTRIKE mode which allows changes in place without
- pushing the information to the right.

- Help
-
- This selection will give you access to all on-line help available within
- this system. The categories of help are: Topics Index Keyboard Basic
- Skills About
-

- Reports|Daily (owner option)
-
- This will produce a daily sales report for each booth for the date
- indicated in the search criteria.
-
- You can also indicate if you would like page breaks between booths
- or just a continuation report with no page breaks (default).
-
- Reports|Bi-Weekly (owner option)
-
- This will produce a similar report as the daily but the search criteria
- includes a date range and optionally a booth number. The default for booth
- number is "ALL" indicating all booths are to be reported on.
-
- The date ranges are not limited to a bi-weekly schedule.
-
- Reports|Snapshot
-
- This will produce a quick report showing how the day sales are doing.
- It is in the format of the invoice with subtotals after each booth.
- The report is viewed first which can be printed from within the
- viewer (P).

- Information Needed
- ==================

- Item Entry Form
- ===============

- Booth
-
- Enter the booth number where the item was obtained for purchase. There
- can be several booth numbers involved in a complete sale. For a list of
- current booth assignments, press ALT-B.
-
- The booth number is used to obtain Seller's name. See also Seller.
-
- Example: 7B

- Item No
-
- Enter the unique identification number of the item being sold. Enter
- "N/A" if the information is not available.

- Example: 123B1
-
- Description
-
- Enter a brief description for the item being sold.
-
- Example: GLASS FLORAL VASE

- Price
-
- Enter the price of the item being sold. The amount should include the
- decimal point unless the amount is a whole dollar amount. If the item is
- a whole dollar amount, then only the dollar value needs to be entered
- without the decimal point or cents.

- Sales Tax Exempt
-
- Choices are 'Y' = Yes and 'N' = No
-
- If a dealer is buying an item for resale in another store, he/she may be
- exempt from sales tax. If so, enter 'Y'. A 'Y' would eliminate the
- calculation of a sales tax on this particular item. See also:
- Configuration

- Dealer Discount
-
- Please indicate if the buyer is being offered a 10% discount with the
- item being purchased. Enter 'Y' if the buyer is being offered one or 'N'
- if not. If you leave the field blank, a default of 'N' will be recorded
- on the discount.

- NOTE: Discounts are not allowed on charge card purchases or items of
- $10.00 or less.
-
- To cancel the discount, reenter a discount of 'N'.
-

- Sales Entry Form
- ================
-
- Paid by Code
-
- Select the appropriate method of payment method of payment. Use the
- arrow keys to move the selection bar followed by the enter key to select
- the method. Your selection will then be displayed in the paid by field.
-
- Choices:
- CASH if payment is by cash
- CHECK if payment is by personal check
- VISA if payment is with a VISA Charge Card
- MC if payment is with a Master Charge Card
- DSCVR if payment is with a Discover Card
- AMEX if payment is with an American Express Card

- Reference No

- Enter the following based on the payment method selected.

- CHECK - Enter the check number being used to pay for the items
- VISA - Enter the VISA card number
- MC - Enter the Master Card number
- DSCVR - Enter the Discover Card number
- AMEX - Enter the American Express Card number

- Seller (internal)
-
- This is the person associated with a booth where the item was obtained.
- The name will be carried on the item for purposes of reporting.
-
- Please note the special ~ character used to separate the last name and
- the first name.

- Date Sold (internal)
-
- This date is preloaded with the current date current date. If the date
- is printing as 01/01/80, this indicates that the computer's internal
- clock internal clock has not been set. See your MS-DOS manual for
- setting the date.

- Tax ID No
-
- This is an optional field to enter the unique Tax ID Tax ID of a
- registered dealer. A database of existing dealer's is maintained by this
- system. If a match on the number is found within the database, the
- associated name will be displayed in the dealer's name field. If a
- number is not found in the database, then an address window will be
- displayed to allow you to enter the dealer address information.

- Press Alt-N to display a list of names.

- Buyer
-
- Please enter the name of the buyer of the item being sold. If a Tax ID
- ID number was entered, then this field will most likely be preloaded
- with the name associated with the dealer number.

- Format: LastName, FirstName

- Press Alt-N to display a list of names.

- If you enter any text in the name field, then the list will be
- reduced by those names that contain the text entered.

- Change Calculator
- =================
-
- Amount Received
-
- Enter the amount of payment applied for the items being purchased. The
- amount of change due will be calculated for you based on amount received
- minus total amount due. If the amount received is less than the total
- amount due, the sale will be considered for a Layaway program. See
- Layaway for the rules that apply to this program.
-
- Example: Total Amount 135.00

- Layaway
- 1. The minimum purchase amount must be at least $50.
- 2. The amount received must be at least 20% of the total
- amount due.
- 3. The balance of the layaway is due in 30
- days from the date of purchase.

- Balance Form
- ============

- Cash Total
-
- The amount displayed indicates the total discounted cash sales plus the
- daily cash amount. Count the cash in the cash drawer and reenter the
- value in this field. Your total cash should cause the Total Amount to
- match the Total Receipts Income.

- Deposit
-
- The amount to deposit should be the Total Amount less Daily Cash.
-
- Initials
-
- Enter your initials as the person who balanced the end of the day.
-
- Basic Skills
- ============
-
- Sales are entered into the Item Entry form. Here you enter Booth, Item,
- Item Description, Price, Tax Exempt indicator, Dealer Discount Dealer
- Discount indicator. You can move all around the Item Entry Item Entry
- form using Tab, Shift-Tab, and the arrow keys.
-
- Once all items have been entered, press F10.
-
- You will then be presented with the Sale Entry form. Select Payment
- Method (CASH,CHECK,VISA,MC,DSCVR,AMEX), enter reference number (Check #,
- Charge Card #), Tax Id number , name of the buyer.
-
- Pressing enter from the buyer's name field will bring up the Change
- Calculator.
-
- Enter the amount received for the purchase and return the displayed
- Change Amount if necessary.
-
- You will be asked if the information is correct with a default answer of
- 'Y'. If you press enter, the sale will be recorded and the invoice will
- print. If you enter 'N', you will be allowed to change in received
- amount. By pressing the Esc key from the Change Calculator, you will
- return to the Sale Entry form. Pressing the Esc key again will return
- you to the Item Entry form. Press the Esc key yet again, you will be
- asked if you want to return to the main menu. Selecting 'Y' cancels the
- sale and returns you to the main menu of choices.

- Once the store closes, you will want to balance the day's sales with the
- cash drawer. Once you balance, you are done with the day and ready for
- the next day.
-
- Once a week, you will want to Export the daily sales to a diskette for
- importing into your reporting package.
-
- This package comes with an application designed to be used with PCFile
- from ButtonWare. It is available from the author of this package. See
- About for details. Adding people Select Booths from the Edit menu
- choice. This will present you with a list of the current booth
- assignments. You can add lines or change the existing information by
- using the capabilities available in the editor.

- Changing invoice numbers Select Invoice from the Edit menu choice. This
- will present you with the current invoice number assignments.
-
- You will be allowed to set both numbers from the editor. Please remember
- that the first number reflects the current invoice number updated from
- the sales form and the second number reflects the days starting invoice
- number.

- Configuring the system
- ======================
-
- The CTC.INI is initially established when you install the sales system
- when you answer the simple Configuration Entry form.
-
- Configuring the system You can tailor the Sales System to your
- particular needs by selecting Configuration from the Edit menu choice.
- The name of the file that holds this information is CTC.INI and can be
- maintained using any text editor from MS-DOS.
-

- Processing a sale
- =================
-
- Once a sale is brought to your attention, you would select the Sales
- option from the main menu. This would bring you to the Item Entry form
- Item Entry form. On this form you enter all the information related to
- the individual items. Enter each item into the Item Entry form, pressing
- F10 when all items have been entered. You will then be presented with
- the Sale Entry form. Here you will enter information relevant to the
- entire sale. Once this form is complete, you will be presented with the
- Change Calculator for processing the purchase. Enter the amount of money
- being applied to the sale and the amount of change will be calculated
- for you and displayed.

- NOTE: A negative change amount indicates a layaway and should be
- processed as such. Change Calculator This window will reflect the total
- sale for the items purchased by one buyer. You are asked to enter the
- amount received from the buyer in the field provided.
-
- Explanation of each display item:
-
- Purchase The total price of all items
- Less Discount The total discounted amount for those items
- flagged as having a discount.
- Plus Tax The total amount of sales tax applied after any
- discounts have been applied.
- TOTAL The subtotal price to be paid by the buyer.
-
- Received The amount being supplied by the buyer.
-
- Change Due The amount due back to the buyer.
-
- NOTE: A negative value indicates a layaway and the "Change Due" will
- change to "Balance Due".
-
- Balancing
-
- This process is an end of the day procedure which will balance the day's
- sales with the remaining money in the cash drawer. Selecting Balance
- from the menu will present you with the Balance Worksheet. The day's
- sales are displayed and the only entry you need to make is the total
- amount of cash in the cash drawer. Your amount will be added into the
- total sales and a message will appear indicating whether you balance.
- Once the "Total" on the left equals "Total Receipts Income", you can
- consider yourself balanced. Once you do balance, the Invoice file will
- be updated for the next day's work by making the starting invoice number
- equal the current invoice number. Balancing also requires your initials.

- ==============

- Booth number is required. Please verify your request.
-
- This message appears when you have not entered a booth number on the
- Item Entry Form. To correct, enter a correct booth number where the item
- was purchased from. It will also appear when you blank out a booth
- number in the effort to delete an item. Press ALT-BALT-B to display the
- current list of booth assignments.

- Booth number not found. Try again.
-
- This will appear when the booth number entered is not found in the list
- of available booth numbers. Pressing Alt-B. will display the current
- list of available booth assignments. The booth numbers must be in upper
- case in order to correctly match with the booth entered in the field
- provided. See Booth within this manual for way to maintain the booth
- assignments.

- Cash Received must be greater than zero.
-
- This will appear when you have not entered any amount in the Amount
- Received field of the Change Calculator. The most probable cause of this
- is when the operator presses the enter key before entering a value.
- Simply press any key to clear the message then enter the appropriate
- value.

- Invalid INI option
-
- This message will appear during the startup of the CTC Sales System when
- an option within the CTC.INI file is not recognized by the system. See
- Configuration for details of what is allowed for values.

- Utilities:

- The following utilities are all available within the CTC subdirectory
- and should be run from the DOS prompt. To execute any one of these
- utilities, simply type in the name of the program (without the
- extension) and press the enter key.

- ADDRESS.EXE
-
- This program manages your dealer's address
- databasedealer's address database. From here, you can Add, Inquire,
- Update and Delete the dealer's information.

- ADDREXP.EXE
-
- This program will export the dealer's address information for importing
- into the DEALERS database in PC-File (requires the CTC Reporting System).

- PRDPACK.EXE
-
- This program will compress the current address database by permanently
- removing the deleted dealers.

- PRDREPT.EXE
-
- This program will create a report of your dealers in the address database.
- The report shows dealer number, name, phone number and state. To save the
- results into a file, execute the program with the option of:
- PRDREPT >ADDRESS.RPT
- This will place the report into a file called ADDRESS.RPT. Once created
- it can be viewed or printed. This is also a good report to run before
- running ADDRESS.EXE for cleaning up the database of dealers.

- This program is used to fix the address database if it should become
- damaged. It is also used to undelete dealers information that were
- deleted by mistake.
